FlowForge Tech is a business-to-business service. This Privacy Policy explains what we collect on our website and in our platform, how we use it, and how you can reach us with privacy questions.

1. Information We Collect

We collect the information needed to run the Service, secure accounts, and manage business workflows.

  • Account and authentication details, such as name, email address, password hash, role, and company affiliation.
  • Customer, job, route, and operational records that you create, upload, or manage in the platform.
  • Messages you send us, including support requests and contact form submissions.
  • Device and usage data, such as browser type, pages viewed, IP address, error events, and similar telemetry.

2. How We Use Information

We use the information we collect to provide and improve the Service, including to:

  • Authenticate users and manage access to business accounts.
  • Store and process customer and job data you enter into the platform.
  • Send service messages, support responses, and account-related notices.
  • Maintain security, troubleshoot issues, and understand how the site and platform are used.
  • Meet legal, contractual, and operational obligations.

3. Payments, Stripe, and Billing Records

Payment details are handled by Stripe and not stored by FlowForge Tech on our own systems. We do not store full card numbers or bank account credentials. We may receive limited payment status information, such as whether a charge or subscription succeeded, so we can keep account records current.

Stripe processes payment information under its own privacy policy and terms.

4. Cookies, Telemetry, and Diagnostics

We use cookies and similar technologies to keep the site secure, remember preferences, and measure performance. The home site may also use Microsoft Application Insights or similar tools for limited telemetry, diagnostics, and page-view measurement.

Those tools may collect technical information such as browser type, device data, page views, IP address, and session identifiers. You can usually control cookies through your browser settings, but some features may not work properly if essential cookies are disabled.

5. How We Share Information

We do not sell or rent personal information. We do not share customer or job data with third parties for their own marketing.

We may share information with trusted service providers that help us operate the Service, such as Stripe for payments and Microsoft Application Insights for site telemetry, but only to the extent needed to perform those functions.

We may also disclose information if required by law, to respond to legal process, or to protect our rights, users, or systems.

6. Smith AI Processing

If a company administrator enables Smith AI, an authorized user's request and relevant company, customer, job, and form data may be processed by FlowForge Tech and our AI service providers to generate an assistive response. This processing occurs only for companies and users that have been enabled through the platform's Smith AI access controls.

Smith AI can produce incomplete, inaccurate, or inappropriate output. It is designed to assist people, not replace human review, approval, professional advice, or decision-making. Users should submit only information they are authorized to share and must review AI-generated output before it is saved, submitted, or acted upon.

Raw Smith AI conversations, messages, and captured form context are removed after 90 days of inactivity. We may retain non-content records, including token and feature usage totals, disclosure acceptances, security events, and audit history, for billing, security, compliance, and service administration. We do not use prompt or response excerpts in application logs.

7. Retention and Security

We retain information for as long as needed to provide the Service, support business operations, comply with legal obligations, resolve disputes, and maintain backups or audit records. Retention periods can vary by data type and by the needs of the account.

We use reasonable technical and organizational safeguards designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your Choices and Requests

You may contact us to request access to, correction of, or deletion of personal information we hold about your account, subject to legal, contractual, and operational requirements. We may need to keep some records for accounting, security, or dispute-resolution purposes.

9. B2B Service and Children

The Service is intended for businesses and their authorized users, not for consumers using the platform for personal, family, or household purposes. We do not knowingly collect personal information from children under 13.
